Does anyone use the Helios "due" field on the clients main screen? We try and set up our EFT memberships on those 3 fields - Balance - Payment - Due. We cannot post payments without a balance in the first field. The second field we put thier payment amount that is due for each month. The third field we haven't been using up until recently. We have been putting a date "due" so that each month if they have not made a payment on time then it will shut down their account and they are unable to tan until they have made that payment. I thought it was working until one of our employees that does not have access to master edit posted the payment and the date still held and would not let the client tan. We had to manually go through master edit to update the date "due" field. Is there something I'm missing that will tell the date that a payment has been made and update the persons account?

SHEESH Doing things the hard way but. Think your problem is going to have to put yesterdays date. Example you enter one 5/25 your going to have to put 5/24. Helios does not recognize a balance unless it's a day late.

Help, What is the easy way!?! OK, I think I am following what is happening. When there is still a larger balance due over and above the actual monthly payment that is due - It locks in the date and will still not tan the client. We were told that we need to keep the total balance in the first field so that when each payment is made montly and posted it will subtract that from the "balance" field. Now when we are using the "due" it only seems to work when the "balance" field is the same or less that the payment field??

You can only have one balance. Example someone owes 50 bucks period they owe that. Not that then next month etc.. If your doing EFT's they shoudl be billed monthly and not tan until paid. What are you trying to do exactly?

We were told by Helios to use the balance field as a counter, when we first took on the software. Example: client purchases 1 year package cost 240.00 (input in "Bal" field) then next field (Pmt) is $20 (due each month). When you post the $20 each month the "balance" field can track that and minus the paid amount (Pmt field). We have been unable to suspend tanning, the only thing we could do was make a note pop up upon pulling the client record up. Of course everyone is not reading (or ignoring it) and bypassing. I was wanting to lock up the account somehow, but of course unlock it upon payment.

I see what your trying to do but if a client purchases a package for 240.00 you collect 240.00 on the spot. If your doing an EFT then your drating credit cards or checks your trying to collect on a balance each month which is just the hard way to do things in my opinion. It's not going to work in Helios this way if you have a balance at all it locks the account you can't just have a half balance from month to month to my knowledge you either have anc are locked or don't.

I also see what is going on here. In this case you will have to set it up so that you collect so much per month for the long term package you have sold. Which means you will likely have to watch t= each client screen in order to charge them monthly as needed.

How does the Helios EFT option work?? do you have to have an EFT company with this?

I would set it up so that you are given an "alert" as to when account are due........

This is ridiculous. so they 'sign up' on the package, give you $20 for this month, pay the next one or MAYBE two months, and forget about it.

Do you actually think they will pay you the balance of $180 when they come back in next March or April???

no way, they'll just go down the street.

They just got your $59 monthly for NINETY days instead of THIRTY.

EFT is EFT (Electronic Funds Transfer) auto-debits so you do NOT have to come on the first of every month and pay in person. Helios 11 has a completeely integrated functio to bill directly to credit cards, and post all declines in client account so they can NOT tan till paid, using these spaces as to what they were designed for.

You'd be better off selling 1@$49, 3@$39, 6@$29, and 12@$19 month Paid In Full (PIF) package memberships and give away one month with 6 PIF and 2 free with 12 PIF. Gonna show one **** of a value in the 12 month there too

no more bookkeeping there either

Believe it or not we have people without debit/checking accounts that no one else in town will take. They sign a contract just like everyone else to pay each month (including late fees). On the occasion that they don't they are sent directly to our collection agency here in town and are dealt with. We actually have quite a few people that pay this way. Most of the time I am glad we can take their money instead of them being able to go down the street. I was just wanting a better reminder system, that when I am not here I could trust that the girls are confronting these people and collecting the monthly payment.

About the "alert" where is that found so I can set that up to try it??
