This might be a question for Andy.
At the end of the month we run a dept & division report that includes the totals for all employees for the entire month. Then we also run a seperate dept & division report for each employee with their totals for the month. We use some key numbers from the employee's report to track certain individual statistics. The problem is that certain numbers like "new customers" and "unique customers" more than double on the individual employee report totals. For example, the monthly dept & division total for new customers was 120. Then when we add all of the individual employee reports together the new customers total 264! In reality the 120 number loooks correct, but do you know why it more than doubles when we run a seperate report for each employee? All of the other numbers and dollar figures seem to match up. Grant, thank you for the question ... this is actually one of the most common questions that Helios Tech Support gets, so I am pleased to address it here.
If a new client within the month was served by more than one employee during the month they would appear as a new client on each of the individual employee reports that you request (of course only the employees reports that actually served that new client) and be reported as only ONE new client on the total report. New clients are not associated to an employee they are new because their first visit was within your reporting timeframe. So if three different employees served this new client during the month, each of the three individual reports would report one new client and since the new client is in fact only one new client, they are reported as ONE in the total report. So here three individual ONES in fact properly is reported as ONE on the total report. This would apply to Total Clients and Unique clients as well. For example a customer could come in this morning and buy a package and be served by the employee on shift ... say Jill and come back this afternoon and buy a lotion and tan with Joe on shift. This client for todays reporting would report as One Unique client on BOTH Jill and Joes report AND be reported as ONE unique client also on the total report. A situation were ONE plus ONE truly does equal ONE. These numbers individually by employee will NOT FOOT (add up) to the total, nor should they. The individual data by employee is correct AND the total is correct AND it is correct that the sum of the individual numbers does not, should not be the same as the total. A little difficult to understand but give it some thought and the light will appear. While we are on that topic, lets clarify Total Client versus Unique Client ... easiest way to express it is ... Andy Thompson cames into your salon 10 times in November ... he will be reported as 10 Total Client (assuming all 10 visits were on different days, a client will only count once (in the totals) on a given day) and 1 Unique client (very unique actually - lol). On the Employee Averages report Helios reports PCA (Product per Client (Unique Clients)) Average and PSA (Product per Sale (Total Clients) Average. Many Helios Users have asked for averages based on Tanning Sessions, we report based on Clients because that is a true comparison of Customers Served versus Sales generated. If is possible for a Customer to come into your salon/store and buy something (lotion) and not tan. If reporting was done against Tanning Sessions these type of transactions would greatly distort your averages. The Total Clients and Total Unique Clients have actually been removed from the Employee Averages report on the Store and Company Average line because so many users were complaining that they did not add up (and should/would not) and since this is truly an Employee Average it was simplier for Helios to remove those totals. We are working on a way to presention these totals without causing mistrust in the reports. So in summary ... the key here is ... this is correctly a situation where ONE plus ONE truly equals ONE.
