Freezing Memberships
Hello - I am a new member to TanTalk and a relatively new salon owner! If there is anyone out there that uses Tan Track as their database system, can you please let me know the easiest way you have found to Freeze your members packages? I understand the NonEFT clients, but am having trouble figuring out the most effective way to deal with my EFT clients. I realize Freezing policies are different for all salons, but I am looking for the most efficient method. Right now, I am having to manually keep track of when they want their package frozen and then when to unfreeze it. It's such a pain! DO you keep charging their credit cards during the month they want frozen and just add a freezing fee on top of it? To me freezing means, don't charge me for that month I am gone. We are located in a college town and majority of our clients have frozen their accounts to go home over X-Mas break... we have lost a lot of revenue this month. What should my policy be for this? Is it best to sign them into a 3 month/6 month contract?
I guess I'm just looking for guidance on the best policy practices that are most efficient for operating the salon! |

Well you definitly want a way for them to not get the frozen time back for EFT's. Let me explain.. long time ago they would continue to pay and then cancel at the end of their obligation and then use the frozen time. :O
So we created a new policy.. you pay a small amount (up to you, 5, 10, 20 dollars depending on their regular monthly dues) and they do NOT get that time back. What this policy does is a few things.. 1. it can be a great tool to stop someone from cancelling "well you can just freeze it for only xx$ a month!" 2. it keeps them obligated and the frozen months do not go toward their obligated months, YOU out of the KINDNESS of your heart are allowing them to hold that special price that MIGHT change so when they want to renew (referencing my old policy) they can't get that price they had before, this way they pay a small little price while they do not want to tan. 3. it can be a great tool to use in your sales pitch, "so, while you don't want to tan like you said over the summer because you are outdoors a lot, you can just freeze it for $X a month and that will hold your special member rate until the next time you are ready to tan!" We let them freeze as many times as they want for as long as they want but they must wait 30 days between the time they froze and the time they wish to come back, and that is for paid for memberships and efts. |
