Caught my employee giving an Old employee free tanning!

We got a call from a Customer telling us that there was some yelling and screaming going on in our Salon Wednesday, So I pulled some reports at that time of day to see who was in beds and found that A Current Employee was in our computer using The Master Edit function in Helios to give Her Mom a free tan and then let her friend and our old employee that left us with 1 day notice for another job a free tan.

After looking around we found she had done it before, Guess What? Your fired! She didnt think she had done anything wrong since the old employee had 10 tans on her package which I had removed because she had never bought tans, and said she was just trying to put them back on there!

Anyway, In doing my research I found a 2nd employee that had sold lotions to customers then went back after they entered there bed and voided the transacation and pocketed the money to the tune of about $400. (I had already fired her for opening my business up twice an hour late)!

Is there anyway to stop this without taking Master Edit or Void away from them?

We do not work the Salon, With business so bad we where forced to find a Paying job for my wife!

They only thing we thought we could do is have them fill out a form on any Voids or Master Edits Daily and pull those reports when we pay them.

They should not be allowed to master edit. If there is somthing that needs to be done they should leave notes for you.

But this one sounds like she need to go.

You also need to get internet access to your computor.

Yea, thats just Extra money we have to spend and then keeping the employees off it might be a challange?

If you are going to be absentee - then you have to have:

1. Policies to prevent theft
2. Equipment/tools to monitor potential theft
3. Review both regularly


Agree with TanU - take away Master Edit.

Beyond that - you have to REGULARLY check voids and things like this to make sure no abuse is happening. Once they figure out they can get away with it - they'll do it all the time. This includes checking inventory, checking deposits against daily history,...


If you don't want internet so you can monitor it from home/work (you can block employees from the internet), then you ideally you stop by the store daily to check sales, cleanliness, deposits, inventory, etc

Another good idea would be a camera pointed at the desk that you can watch from off-site (again, would need internet access). Then you can see when they are "hanging out", how they interact with customers (look bored or engage them in sales talk,....), if they do cleaning, spot check who is tanning under unlimited packages (so they don't put in a friend under an EFT customer), etc

OR - if you don't want to invest in internet access -- then stop by the store daily, do random "unannounced" visits, take away master edit, make them write up any voids and check daily, have them do daily inventory and cleaning checklists etc

If you have customers calling you to tell you there is "yelling and screaming" going on at your salon - you have bigger issues right now than just a few free tans being given out. Your staff is running your business into the ground right now.

I agree, We have gotten rid of 2 employees in the last week and banned an old employee from coming in! (She is the trouble maker) We do visit the salon daily unannounced to check for problems and make deposits!

We now know how to run reports on voids and any master edit"s for the day and those will be checked, I knew something was going on but didnt really know what it was until i started looking into the reports!

I have thought about a camera looking at the front counter before but just dont like the idea that customers might get if they see one?

If possible is there at least 1 employee you trust. Pay her a little extra to hunt and find stuff that desnt look right. I have one girl that has been with me a very long time and like me she knows when something doesnt look right.
We also give visits away in our high end units. This also takes care of the pocketing money from lotion. If the free visits have been added without a purchase it is not hard to see.

It is placed so it can view the front counter area only - not the rooms.

Discourages customer theft as well.

After you get internet service, You might want download VNC with this service you can log in and actually watch transactions taking place. I'm always watching my stores computors.

Actually............ The last employee I let go, I gave her employee rights for 1 year. Tanning and discounts.
