What is our responsibility for employees that we are taking to nashville, I am paying for the hotel, and admission ticket. Do I need to give money for food? I am not sure this is our first convention.

Responsibility? I don't think you really have one unless you want to. Are they minors?

Are you making it mandatory for that person or people to go?

If not then you are not responsible for any costs
If so then there is regulations for X amount per day for food depending on the state you are going to

Consult with your accountant they have the rules and allowances for each state visited
Again if it is not mandatory you are not obligated
Just need to make it clear with employees you are paying transportation and hotel and they are own their own for food

I would take you managers and then train employee's or make sure they go to all the classes and pay attention or you are waisting you $'s taking them.

I was under the impression that since its for work, and its mandatory that you had to provide money for meals. I had originally been told by my accountant that it was ok to do two meals a day and that does not include alcohol. And then obviously room and transportation.

If you are making it madatory they go & it is a requirement then yes food.

And it is a set amount for food depending on the area you are going not the state you reside
